Preparing for an Event

Creating Disney Magic Episode 524 Preparing for an event “The value of getting grouped together at an event for a couple of days is just talking about things. That is where most of the solutions come from.”

When we first started the Creating Magic Mastermind events, I wasn’t sure how they would turn out. There were always people asking about my years of experience from my time at Hilton, Marriott, and Disney. But bringing people together for an intensive two-day workshop was different than have conversations over a cup of coffee. Even though I was hesitant to start, I quickly learned how to help create magic through events like these. And a lot of the success comes down to how you are preparing for an event.

There are always doubts leading up to an event, speech, or workshop.

“Will anyone show up?”

“Will people find value?”

“Will this make a difference?”

Those doubts are what made me really pay attention to the small stuff. I wanted to make sure people would show up, get value, and it would make a difference for them.  It certainly wasn’t perfect from the start. But with each event we would refine the approach.

Before events like my Creating Magic Mastermind, I take the time to connect with attendees and learn about their needs. This helps me get to know them and on the day of the event they walk in without the anxiety of not knowing anyone. It brings the walls down a little, which helps us hit the ground running. This is extremely important when there is such limited time together.

Since taking that approach there have been a lot of meaningful connections made. Not just during the event, but people collaborating and even returning to future events. Some return twice a year! People continue to say how much they appreciate having that connection before they even arrive. Once they are there they get immense value in the group interactions. We’ve had doctors, executives, and even stand-up comedians join us. No matter where they come from or what challenges they face, I make sure to facilitate a space where we all can learn from each other.

Preparing for these events isn’t a walk in the park. Coordinating logistics and understanding everyone’s background takes time and commitment. But seeing participants leave with solutions to their deepest challenges? That’s priceless. And as I said, it all comes down to making meaningful connections before they even arrive.

If you’re planning an event or embarking on any challenging journey, remember to focus on the people. The effort you put in will be worth it when you keep attendees at the front of your mind. After putting in the work preparing for an event, make sure to celebrate the incredible results from all your hard work.
